Quick start guide for users
Are you an administrator who wants to learn about the management options and settings? Read the quick start guide for administrators.
Welcome to vBoxxCloud
Log in to vBoxxCloud with your login details at web.vboxx.nl.
As a user in an organisation, you should already have received an email from your administrator with your username and a temporary password.
Once you are logged in, you see your personal file view. It gives you an overview of your private folders and team shares, and from here you can share, upload and download files.
Edit your account
Click your name at the top of the web portal to change details such as your login email address or your password.
Download vBoxx Sync
Download vBoxx Sync to synchronise your folders and files with your computer and work locally.
- 1Click your name at the top of the web portal and choose Download App.
- 2Pick the version for your operating system.
- 3Follow the installation steps and sign in with your login details when the installation is complete.
Read how to install the sync tool for the full steps.
The sync folder
After installation, a sync folder is created on your computer. Every folder and file inside it is synchronised with vBoxxCloud.
Move the files you want to keep in vBoxxCloud into this folder. If you have already been added to team shares, they appear here too, and you can open and work on their files.
The icons on folders and files show the sync status: a blue icon means the file is syncing, a green tick means it is up to date.
Upload files
You can upload files by moving them into the sync folder on your computer or through the web portal. In the web portal there are two ways:
- Drag and drop: drag the file into My Files or a team share.
- Upload manually: choose Upload Files, click Add Files to pick a file from your computer, then click Start Upload.
Share files
There are two ways to share files. Team shares let several vBoxxCloud users work in shared folders on the same files. Share links are for exchanging folders or files with people outside your cloud, such as partners or customers.
Team shares
Team shares are for working together as a team. You find them under Team Shares in the web portal. Whenever a file in a team share changes, the folder updates for every other member, so you can collaborate in real time.
Team shares are created and managed by the administrators of your organisation.
If you have permission, you can open the team share in your local sync folder and work offline. When you are back online, your changes are synced for everyone. If your change collides with someone else's, you are asked how to resolve the collision.
Share with people outside your organisation
To share files with people who do not have a vBoxxCloud account, use guest users or a public share link.
- 1Right-click a file or folder and choose Share.
- 2Use the link to share the file publicly: anyone with the link can open it.
- 3Or choose Secure share to send the file to existing guest users or add new guests by email address. Recipients then sign in with their email address and a password.
Guest users are especially useful for people you exchange files with regularly, because they can both download and upload. See sharing files with guest users.
You can also share straight from your desktop: right-click the file in your sync folder and choose share, and the same share window opens.
Manage shares
Administrators see all team shares and shares under Shares in the web portal. Every user manages their own shares under Share Links.
Only administrators can edit or delete team shares.
Under Items shared by you you find everything you have shared externally, and you can change or stop each share there.
Restore files
Deleted a file by accident? In the file view of the web portal, use the button that shows deleted files. Deleted items appear faded, and you can restore them.
Administrators decide how long deleted files are kept and whether users may remove files permanently.
What are revisions?
vBoxxCloud keeps revisions, earlier versions of your files. To view or restore one, right-click the file locally or in the web portal. You then see all saved versions and can download one or make it the current version.
Administrators decide whether and for how long revisions are kept.
Backups
If you have the rights, use the Backups tab to back up folders that you do not sync with vBoxx Sync, so files that are not in My Files or a team share. You can also browse and restore backups there. More in creating backups.
Backups compared with vBoxx Sync
| vBoxx Sync | Backups |
| Your files are available on every device, at any time. | Files that are not in your sync folder. |
| Revisions are kept, so earlier versions are stored in your cloud. | Stored under Backups in the web portal, not in your sync folder. |
| Every change creates a new revision in the web portal. | |
| Backups can only be restored through the web portal. |
Activity log
The activity log shows the changes made to files, so you can follow what happened and when.
