Quick start guide for administrators

Want to learn the first steps as a user? Read the quick start guide for users.

Welcome to vBoxxCloud

After your account is created, you receive a welcome email with a button to sign in to your cloud. You can also sign in at web.vboxx.nl.

After signing in, you land on the admin dashboard. Only administrators see it. It gives you an overview of the activity and statistics of your cloud and helps you manage it.

Click your name at the top of the screen to change your login details or language.

What is an organisation?

An organisation is the cloud environment you work in. You assign administrators and users to each organisation and give it its own settings.

Sub-organisations are useful when you work across several branches, for example, and want to give each its own users, policies and administrators. See organisation structure and multitenancy and inherited policies in sub-organisations.

Accounts

vBoxxCloud has three types of account:

  • Administrator: changes the policies and settings of the organisation, adds users, creates team shares and manages connected devices.
  • User: works in shared folders, creates private folders and installs vBoxx Sync to sync files with their devices.
  • Guest: free accounts for working securely with people outside your organisation. Guests can view and download folders shared with them in the web portal, and upload files if you allow it.

Any user can also be an administrator, so you can have more than one. Unlike guests, administrators and users can share files and use vBoxx Sync, the apps and integrations such as WebDAV.

Under Accounts you create new accounts and manage existing users.

Create a user

You can create as many users as your plan includes.

  1. 1
In Accounts, click the plus button.
  2. 2
    Enter the account details.
  3. 3
Add the new user to existing team shares or groups, and save.
Tip · Under the storage quota setting, choose whether to limit the user's storage or let them use storage freely within the organisation's capacity.
Tip · Create groups for people who work in several team shares. You can then add them to new shares in one step.

Create several users at once

Use the CSV import in the Accounts overview to create many accounts in one go. On the import page you choose the settings for the new users, upload the .csv file and start the import.

Manage devices

The Devices view lists every computer and phone with vBoxx Sync or the app installed. You can check the sync status and see which user is signed in on each device.

Tip · Disconnect devices that are lost or stolen, and choose to remove the synced files from the device so nobody can misuse them. See remotely delete files from any device.

Shares

vBoxxCloud has two kinds of folders: team shares, shared folders for working with colleagues that administrators manage, and My Files, which are not shared with other accounts and which every user can create.

The Shares view lists your team shares. You can edit them, add subscribers or remove them. Files shared with external people are listed separately.

Note · Users have a Share Links tab. Because every user can see it, team shares cannot be managed there.

Create a team share

  1. 1
In Shares, click the plus button on the right.
  2. 2
Enter the details of the team share.
  3. 3
Pick the subscribers from your accounts, and save.

More in how to create team shares and team share permission roles.

Tip · Want to stop an employee from opening company files outside the office or syncing them to a private computer? Turn off web access or new devices for that account once it is signed in with vBoxx Sync on the work computer.

Backups

Under Backups, users back up folders from their device that they do not want to sync with the cloud and other devices. More in creating backups.

Activity

In Activity you follow what users do, and under Notifications you choose which actions you want to be told about. See the activity log.

Reports

Under Reports you set up overviews with statistics and trends for a chosen period. See how to create activity reports.

Settings

Under Settings you adapt the cloud to your organisation. For example, under General you change the organisation name, add a disclaimer or set the language of your cloud.

Some useful settings:

  • Raise security by asking users to change their password regularly.
  • Require two-factor authentication with an authenticator app or SMS for every user.
  • Save storage by removing deleted items and old file revisions automatically after a set period.
